Operations Coordinator

Key Responsibilities

• Manage Client Communications: Handle customer requests, inquiries, and daily shipment updates promptly via phone and email.
• Coordinate Freight Carrier Operations: Communicate directly with freight carriers to book loads and coordinate timely pickups.
• Active Shipment Tracking: Track active shipments to ensure accurate, real-time status reporting throughout the transit process.
• Streamline Logistics Administration: Manage administrative tasks, including basic, mostly automated invoicing.
• Proactive Problem Solving: Take full initiative to resolve logistical issues and foster strong operational relationships across teams and partners.

Must-Have Requirements

• Customer Service Experience: Proven background in a customer service role communicating regularly via phone.
• Fluent English Skills: Strong verbal communication with clear phone presence, assertiveness, and articulation for daily client and carrier calls.
• Spreadsheet Proficiency: Hands-on proficiency using Microsoft Excel for operational reporting and tracking.
• Drive & Ownership: Assertive personality with the drive to take ownership of tasks independently.
• Fast-Paced Communication: Strong written and verbal communication skills tailored for a fast-paced logistics environment.
• Attention to Detail: Meticulous focus and accuracy in administrative and tracking tasks.

• Industry Experience: Background working within the freight, logistics, or transportation industry.
• Collaborative Environment: Prior experience working effectively within collaborative team environments.
• TMS Software Experience: Familiarity with Transportation Management System (TMS) software.
